Terms and conditions

By booking or attending a swimming lesson with us you accept these terms and conditions and they will form part of the contract between us. We reserve the right to vary these terms and conditions at any time.

Term times

There are three terms in the year: 

Term 1 (September to Christmas holidays)

Term 2 (January to Easter holidays)

Term 3 (April to Summer holidays)

Booking and payment

We use software called Swimphony to record and store the information you provide. It allows parents/guardians and adult learners to access their own Learner Portal to update information and check progress. 

All communication will be with the person making the booking who accepts the terms and conditions on behalf of each learner. 

Payments can be monitored and paid through the Learner Portal. Fees are charged to the card entered into the Portal and cover lessons in the half-termly block ahead. 

We will notify you via email in advance of payment stating the amount you will be charged and the dates the payment covers. 

When you make your first payment, your card details can be securely stored by our card processor for future payments. Please contact us if you would like to delete your card details at any time. 

Refunds will only be issued in the event of cancellation of lessons by GoggleSquad Swimming School.

Payment

A learner’s initial place is not confirmed until advance payment has been received. 

For the purposes of ongoing payment, we split terms into two blocks. Payment is required one month prior to the start of each half-term block. For example, if the half term block starts on 9th January, payment will be taken on 9th December. 

Cancellation

If you have enrolled a new learner and decide to cancel their place, we require at least one months’ notice.

Please note, for existing learners, if you wish to cancel, this must be done one month prior to the half-term block ending, otherwise payment will be taken. 

If you wish to change a booking, please contact us and we will do our best to accommodate, but this cannot be guaranteed.

GoggleSquad Swimming School  reserves the right to review fees on a term-by-term basis. Any increases will be communicated prior to the new term commencing. 

We are unable to provide catch-up lessons, credits or refunds following absence for individual circumstances, as our costs are incurred whether or not a learner attends. Catch-up lessons are disruptive to the normal running of established classes, also classes are generally fully booked.

Refunds and credits will not be given if a learner refuses to take part in a lesson. Lesson fees are non-refundable if a learner has missed lessons or decided to withdraw once the half-term block has commenced.

Should a learner take a holiday during a block which results in lesson(s) being missed, you will still be charged in full. Their place will be retained on the course for the block that has been paid for.

GoggleSquad Swimming School reserves the right to change or cancel lessons at any time. Refunds will only be issued in the event of cancellation of lessons by GoggleSquad Swimming School.

Where lessons are cancelled by GoggleSquad Swimming School due to circumstances beyond our control like power cuts, adverse weather or disasters, or as a result of a requirement to follow government guidance, a credit or alternative date for the lesson(s) will be offered.

Free assessments

Free assessments are offered at the discretion of GoggleSquad Swimming School and will take place when a slot is available. 

At the venues

Our private swimming pool venues are part of someone’s home so we ask you to be extremely considerate of neighbours when arriving and leaving, keeping noise to a minimum. Please note, we have a strict policy at private residential venues of limiting attendance to one parent/guardian per learner.

It is the parent/guardian’s responsibility to ensure the good behaviour of children before and during lessons, as well as when arriving and leaving the venue. 

GoggleSquad Swimming School takes responsibility for children during lesson time while in the water. GoggleSquad Swimming School and the Pool Owner do not accept responsibility for learners or those accompanying them when entering or leaving the property, or if they leave a lesson for any reason

GoggleSquad Swimming School and the Pool Owner accept no responsibility for those accompanying learners whilst at the venue.

Buggies, bikes or scooters cannot be brought inside swimming pool buildings.

Please do not arrive more than 10 minutes prior to the start of a lesson. Please ensure you arrive in sufficient time to start the lesson promptly as late arrival is disruptive to other learners. If you arrive late for a lesson more than once, we reserve the right to cancel a learner’s place for the block and will not give a refund. 

Children should always be under the direct supervision of an adult and never left unattended.

GoggleSquad Swimming School takes responsibility for children during lesson time while in the water, but does not accept responsibility for them if they leave a lesson for any reason.

GoggleSquad Swimming School does not accept responsibility for any spectators whilst on site.

No food or drink should be consumed in the swimming pool area or changing rooms.

Shoes must not be worn on the poolside or in the changing rooms.

Babies and toddlers who are not toilet trained must wear appropriate tight fitting swim nappies and a tight fitting swimsuit over the swim nappy. Under no circumstances should regular nappies be worn while swimming.

Spectacles should be removed for swimming to avoid injury and prescription goggles can be used if necessary.

No jewellery is to be worn during lessons including earrings in newly pierced ears and no refunds will be made during the initial period of piercing. 

For school-age learners swimming hats are mandatory, with long hair tied back.

Swimmers must not enter the pool until instructed by the swimming teacher.

The following behaviour is not permitted in the pool or on the poolside: running, diving, ducking, fighting, bombing, shouting and throwing items. A warning will be given for any of these behaviours, and if they persist, the learner will be asked to leave.

GoggleSquad Swimming School expects reasonable behaviour from all swimmers, parents and guardians and we reserve the right to exclude anyone who fails to maintain this standard. 

Medical information and illness 

Learners’ medical conditions must be disclosed to GoggleSquad Swimming School. All information received is treated in the strictest confidence.

When completing the booking form for lessons and having accepted these terms and conditions, you are responsible for checking with your doctor that there is no issue for your child to take part.

Swimmers should not attend if they are unwell and should not attend if they have covid or covid symptoms, coughs, colds and sinusitis, ear infections, upset stomach, or any kind of infectious disease such as (but not limited to) chickenpox, conjunctivitis or impetigo. Learners with gastric sickness should not swim for at least two weeks after the last occurrence. 

Pool safety and closures

In the event of an emergency, the swimming teacher will follow the EAP (Emergency Action Plan) of the venue. If it is necessary to clear the pool, then swimmers must remain on the poolside with the teacher until advised otherwise. If the whole pool area needs to be evacuated, please be led by the teacher to the assembly point without returning to the changing room.

Pool closures do occur occasionally at short notice and we notify parents/guardians/learners by text and email, so please keep us updated with your current mobile phone number and email address.

Parking 

Our private venues are in residential areas. Visitors must follow the guidance given about parking according to the specific venue. If you are unsure about where to park, please ask. Please be considerate of neighbours and do not park in front of driveways or on verges.

If attending lessons at Notre Dame school, please use the dedicated visitor parking in car park 4.

Lost property

GoggleSquad Swimming School accepts no responsibility for any damage or loss of property left on the premises. If you do think you have lost something at the venue, let us know and we will be happy to check.

Complaints

If you are unhappy with any of our services, it is important that you let us know. If you have a concern, please don’t hesitate to raise it with the teacher in person by email via hellogogglesquad@gmail.com.

Photography

No photos are to be taken of learners attending lessons whilst on the premises. 

Data protection

Parents, guardians and learners give their consent to GoggleSquad Swimming School to process personal data collected through the enrolment/re-enrolment process. Data will not be sent to any third parties. For more information, please see our Privacy Policy.
