GoggleSquad Swim School Terms and Conditions

By booking or attending a swimming lesson with GoggleSquad Swim School you accept these terms and conditions and they will form part of the contract between us. These terms apply to the person making the booking, who accepts them on behalf of each learner. We reserve the right to vary these terms and conditions at any time. Any changes will apply to future bookings or payment blocks only.

GoggleSquad Swim School is responsible for learners only during their scheduled lesson time and only while they are participating in the lesson in the water, in line with the supervision model for that lesson type. Responsibility transfers back to the parent or carer if a learner leaves the water for any reason, including during breaks or toilet visits.

Term times

There are three terms in the year:

Term 1: September to Christmas holidays

Term 2: January to Easter holidays

Term 3: April to Summer holidays

Booking and payment terms and conditions

We use software to record and store the information you provide. This allows parents, guardians and adult learners to access their own Learner Portal to update information and check progress.

All communication will be with the person making the booking, who accepts these terms and conditions on behalf of each learner.

Payments can be monitored and paid through the Learner Portal. Fees are charged to the card entered into the Portal and cover lessons in the half-termly block ahead.

We will notify you via email in advance of payment stating the amount you will be charged and the dates the payment covers.

When you make your first payment, your card details can be securely stored by our card processor for future payments. Please contact us if you would like to delete your card details at any time. Refunds will only be issued in the event of cancellation of lessons by GoggleSquad Swim School.

Payment

A learner’s initial place is not confirmed until advance payment has been received.

For the purposes of ongoing payment, we split terms into two half-term blocks. Payment is required one month prior to the start of each block. Where a payment date falls on a weekend or bank holiday, payment will be taken on the next working day. Learners remain enrolled on a rolling basis unless cancelled in line with these terms. Failure to make payment when due may result in suspension or cancellation of a learner’s place.

Cancellation

If you have enrolled a new learner and decide to cancel their place, you may do so within 14 days of booking in accordance with your statutory cooling-off rights, provided that the learner has not yet attended any lessons. Where a cancellation is made after this 14-day period, at least one month’s notice is required before the start of the first paid half-term block (being the block for which payment is due).

For existing learners, cancellation must be made at least one month before the end of the current half-term block. If notice is not received within this timeframe, payment for the next half-term block will be taken and is non-refundable.

All cancellations must be submitted by email to hello@gogglesquad.co.uk. Verbal or informal notice cannot be accepted.

If you wish to change a booking, please contact us and we will do our best to accommodate your request, but this cannot be guaranteed.

GoggleSquad Swim School reserves the right to review fees on a term-by-term basis. Any fee increases will be communicated in advance of the new term.

Absence, refunds and holidays

We do not provide catch-up lessons, credits or refunds following absence for individual circumstances, as our costs are incurred whether or not a learner attends. Catch-up lessons are disruptive to the normal running of established classes, which are generally fully booked.

Refunds and credits will not be given if a learner refuses to take part in a lesson. 

Should a learner take a holiday during a block which results in lessons being missed, you will still be charged in full. Their place will be retained for the block that has been paid for.

Unless stated otherwise in these Terms & Conditions, lesson fees are non-refundable once a half-term block has commenced.

Lesson changes and cancellations

GoggleSquad Swim School reserves the right to change or cancel lessons at any time.

Refunds will only be issued in the event of cancellation of lessons by GoggleSquad Swim School.

While we aim to provide consistency of instructors, we cannot guarantee that the same instructor will deliver every lesson. Lessons may be covered by another suitably qualified instructor where required.

Where lessons are cancelled due to circumstances beyond our control, including power cuts, adverse weather, site issues, or government or venue requirements, a credit or alternative date may be offered.

Free trials

We do not offer free trial lessons, except for promotional purposes and at our discretion.

Free short assessments may be offered at the discretion of GoggleSquad Swim School where appropriate, solely to determine a learner’s level before placing them in a class. Assessments are not lessons and do not guarantee a place.

Use of venues and premises

Parents, carers, learners and accompanying persons must comply with all venue-specific rules, instructions, and reasonable requests made to protect the property, neighbours, and other users of the site.

Some swimming pool venues form part of a home or private facility. Parents and carers are therefore asked to be considerate when arriving at and leaving venues, including keeping noise to a minimum.

Attendance at lessons is limited to one parent or guardian per learner, unless otherwise agreed.

Parents and carers are responsible for the behaviour and supervision of children before, during, and after lessons, including when arriving at and leaving the venue. 

Children must always be under the direct supervision of a responsible adult when not in the water and must never be left unattended on site.

Parents, carers, learners and accompanying persons attend lesson venues at their own risk when not participating in a scheduled lesson, including before and after lessons. 

GoggleSquad Swim School and the pool owner do not accept responsibility for accidents, damage, or loss occurring outside the delivery of swimming lessons, except where required by law.

Buggies, bikes, and scooters must not be brought inside swimming pool buildings.

Please do not arrive more than 10 minutes before the start of a lesson. Late arrival is disruptive to other learners. Repeated late arrival may result in cancellation of a learner’s place for the block, without refund.

Supervision and safety at lessons

GoggleSquad delivers swimming lessons using an instructor-led, parent-supported supervision model.

Lessons are delivered within defined, risk-assessed instructor-to-learner ratios appropriate to the age, stage, and type of lesson being delivered.

Supervision arrangements vary depending on the type of lesson and the age of the learner.

Parents and carers are expected to cooperate with supervision and safety arrangements, follow instructions from GoggleSquad staff, and remain available to support their own child if required.

Parent and child lessons

For parent and child lessons, the parent or carer remains responsible for their own child in the water at all times and must stay within arm’s reach of their child throughout the lesson.

Preschool-aged learners

For preschool-aged children attending independent swimming lessons, where the parent or carer is not in the water, a parent or named carer must remain on poolside for the entire duration of the lesson.

Waiting elsewhere on site or outside the immediate pool area is not sufficient for this age group.

This requirement supports safeguarding, emergency response, and the welfare of younger children.

School-aged learners

For school-aged children attending independent lessons, supervision is provided by a qualified GoggleSquad swimming instructor in the water, responsible for the safety and supervision of the class as a whole.

Parents and carers are expected to remain within the pool building or nearby on site and be able to return promptly if required. They must ensure that GoggleSquad staff know where they can be located on site if needed.

While parents and carers may choose to wait elsewhere within the facility at their own discretion, responsibility for remaining available and returning promptly rests with the parent or carer.

Pool rules and hygiene

Learners and those accompanying them must follow all pool rules, hygiene requirements, and venue-specific instructions as displayed on site or communicated by GoggleSquad staff.

No food or drink may be consumed within our pool buildings, including the changing rooms. Additional restrictions may apply to other areas of the premises, such as clubhouses or shared member spaces. These requirements are set by the venue to manage hygiene, allergies and shared facilities.

Jewellery must not be worn during lessons, including earrings in newly pierced ears. No refunds will be given during the initial period following piercing.

For school-age learners, swimming hats are required and long hair must be tied back.

Learners must not enter the pool until instructed to do so by the swimming teacher.

Double nappy policy

We operate a strict double nappy policy for babies and toddlers who are not fully toilet trained.

This requires a disposable or reusable swim nappy to be worn underneath a properly fitted neoprene swim nappy or equivalent leak-resistant over-nappy.

Under no circumstances may regular nappies be worn in the swimming pool.

This requirement is mandatory and non-negotiable. Parents and carers are responsible for ensuring that their child arrives ready to swim in the correct nappy combination.

Learners who do not meet this requirement will not be permitted to participate in their lesson, and no refund or credit will be given.

Toileting and changing

Parents and carers are responsible for ensuring their child uses the toilet before lessons and for managing any toilet breaks during lessons. GoggleSquad staff cannot take learners to the toilet or assist with toileting under any circumstances. Parents and carers must remain available on site and able to respond promptly if their child needs to leave the pool for any reason.

Parents or carers may enter the changing rooms if they are helping a child aged 8 or under, or a child with a disability. When helping a child, parents or carers should use the changing room that matches their own gender. Children aged 8 and over are expected to change independently in the appropriate changing room.

Use of mobile phones on poolside

To support safety, supervision, and a positive learning environment, parents and carers are asked not to use mobile phones on poolside during lessons, except where necessary.

We encourage parents and carers to observe lessons attentively, so they can support their child and see their progress first-hand.

Mobile phones and changing areas

Mobile phones must not be used in changing areas.

Parents, carers and learners must follow venue signage and instructions relating to mobile phone use and photography at all times.

Behaviour

The following behaviour is not permitted in the pool or on poolside: running, diving, ducking, fighting, bombing, shouting or throwing items.

Warnings may be given. If unsafe behaviour continues, the learner may be asked to leave the lesson. No refund will be given in such circumstances.

GoggleSquad Swim School expects reasonable behaviour from all swimmers, parents, carers and spectators and reserves the right to exclude anyone who fails to maintain this standard.

Pool safety and emergencies

In the event of an emergency, the swimming teacher will follow the venue’s Emergency Action Plan.

If it is necessary to clear the pool, swimmers must remain on poolside with the teacher until advised otherwise. If the pool area must be evacuated, parents and learners must follow staff instructions and proceed calmly to the designated assembly point without returning to the changing rooms.

Parents and carers may be asked to support their own child during incidents or evacuations and are expected to do so promptly when directed.

Medical information and illness

Learners’ medical conditions must be disclosed to GoggleSquad Swim School. All information received is treated in the strictest confidence.

By completing the booking process and accepting these terms, you confirm that you have checked with a medical professional that there is no reason your child should not participate.

Learners should not attend if they have symptoms of illness, including coughs, colds, ear infections, upset stomach, or infectious conditions such as chickenpox, conjunctivitis or impetigo. Learners with gastric illness should not swim for at least two weeks after the last occurrence.

Collection, handover and late collection

Parents and carers are responsible for collecting learners promptly at the end of each lesson.

Learners will only be released to a parent, carer or other responsible adult known to the family. GoggleSquad staff cannot release learners to unknown individuals without prior agreement.

If a parent or carer is repeatedly late to collect a learner, GoggleSquad Swim School reserves the right to review or cancel the learner’s place.

Parking and vehicles

Parking at or near lesson venues is undertaken at the parent or carer’s own risk. Parents and carers are responsible for ensuring vehicles are parked safely, legally, and in accordance with venue guidance.

GoggleSquad Swim School accepts no responsibility for damage to vehicles, property, driveways, or surrounding areas caused by parking or vehicle movements.

Lost property

GoggleSquad Swim School accepts no responsibility for any damage or loss of property brought onto the premises. If you believe you have lost something, please let us know and we will be happy to check. We do not keep lost property at our venues indefinitely. If items are not collected after two weeks, they may be disposed of.

Complaints

If you are unhappy with any of our services, concerns should be raised by email to hello@gogglesquad.co.uk. Parents and carers should not interrupt lessons to raise questions or concerns. Any queries should be directed to the GoggleSquad team via the office so that instructors can focus on the safe delivery of lessons.

Photography and recording

Photography, video recording, live streaming, or any other form of image or audio recording of learners is not permitted on the premises at any time.

Data protection

Parents, guardians and learners consent to GoggleSquad Swim School processing personal data collected during enrolment and re-enrolment in line with our Privacy Policy. Data will not be shared with third parties.

Statutory rights

Nothing in these terms and conditions affects your statutory rights under UK consumer law.
